How we collect, use and protect personal data when you use AcademyAdmin.

Who we are
AcademyAdmin provides a management platform for online academies. When your academy uses AcademyAdmin, the academy decides what information about its staff, students and guardians is entered into the platform, and we process that information on the academy's behalf. Data we collect
Three kinds of data: account data you provide (name, email address, password, optional profile details), the records your academy keeps to run its operations (such as enrollment, schedules, attendance and billing records), and technical data created when you use the service (such as log entries and the cookies described below).
How we use data
We use data to operate the platform: signing you in, showing your academy's schedules and records, sending the emails the product needs (verification, password reset, invitations, billing notices) and keeping the service secure. We do not sell personal data and we do not use it for third-party advertising.
Payment processing
Subscription payments are processed by Stripe. Card details are entered directly with Stripe and never touch our servers; we receive only what is needed to manage the subscription, such as its status and invoice references.
Service providers
We rely on a small set of processors to run the service: hosting infrastructure, Stripe for payments, Cloudflare Turnstile to protect public forms from automated abuse, and Google sign-in if you choose to use it. Each provider receives only the data required for its function.
Data retention
Records are kept while your academy's account is active. Deleted records are first soft-deleted so academies can correct mistakes, then removed. When a subscription ends, academy data is retained for a limited wind-down period so it can be exported, and is deleted afterwards unless the law requires longer retention (for example, invoices).
Your rights
Depending on where you live (including under the GDPR), you can request access to, correction of, deletion of or a copy of your personal data, and you can object to or restrict certain processing. Because most records in the platform are controlled by your academy, requests about academy records are usually fulfilled together with the academy — contact us and we will help either way.
Cookies
AcademyAdmin uses only the cookies the product needs to work: an authentication cookie that keeps you signed in, and preference cookies for theme and language. There are no advertising or cross-site tracking cookies.
